Prepare for your Venue Tour: Questions to Ensure You're Getting Honest and Clear Pricing

Choosing a wedding venue is one of the biggest decisions you’ll make, and it’s easy to fall in love with a space before understanding the full cost. To avoid surprise fees and last-minute stress, go into your venue tour prepared. These simple, smart questions will help you get clear, honest pricing so you can confidently choose the venue that truly fits your vision—and your budget.


ASK THESE QUESTIONS!


  1. Ask which items in your quote are extras and how much each add-on costs.

    • Many venues offer a base price, but not everything is included. Asking which items they consider add-ons. This way, nothing catches you off guard when you receive the final bill.

  2. Make sure the cleaning fee is included—and find out what you’re still responsible for after the event.

    • Some venues charge separately for cleaning, and even if the fee is included, there may still be tasks you’re responsible for at the end of the night. If those tasks aren’t completed, additional charges may apply.

  3. Check if there’s an alcohol or bartender fee, and whether any other bar-related charges apply.

    • Alcohol service can come with a variety of extra costs, such as bartender fees, bar setup fees, corkage fees, or required security.

  4. Ask whether taxes are already included in the quote or added at the end.

    • Taxes can significantly change your final price. Some venues include them in the initial quote, while others add them later.

  5. Find out if gratuity is included and what percentage the venue typically charges.

    • Gratuity is often required and can add 10–20% (or more) to your total. It’s important to know whether it’s included and how it’s calculated.

  6. See if the venue has seasonal pricing or certain dates that cost more.

    • Many venues charge more during peak months or on high-demand weekends. Be sure the quote you receive reflects your specific date, or ask to review pricing across all seasons so you know exactly what to expect.

  7. Ask whether you’re required to use the venue’s catering and if there’s a fee for outside catering.

    • Some venues require you to use their in-house services. If outside catering is allowed, there may be an extra fee.

  8. Double-check if there are any security fees, insurance requirements, or other extra costs you should expect.

    • Hidden fees can sneak into your final invoice if you’re not careful. Asking about security charges, required insurance, and any other additional costs ensures full transparency from the start.

  9. Make sure you understand the cancellation or rescheduling policy before you book.

    • Life happens, and plans can change. Knowing the cancellation or rescheduling policy in advance helps protect your investment and gives you peace of mind should anything unexpected occur.

  10. Ask how many guests are included in the base price and what it costs if you go over that number.

    • Many venue packages include a set number of guests before additional per-person charges apply. Understanding these limits helps you estimate your true cost based on your actual guest list.

  11. Know how many hours are included and the cost of adding extra time before the event, and know the fees if your event exceeds the planned timeline. Consider adding set-up time if the Venue isn't already decorated.

    1. Some venues include only a short rental window, and extra hours can add up quickly. Ask about setup time, early access, and overtime fees so your timeline stays smooth and stress-free.

  12. Ask if the Venue provides sound equipment or if you will need to purchase/rent your own.

    • Sound systems, microphones, and speakers aren’t always included. Knowing what’s available—and what you may need to secure separately—helps your DJ or band prepare and prevents last-minute rental surprises.
